Email and SMS sharing
Sending photos by email or SMS
How guests receive their photo by email or SMS from the booth, what you need to enable, and how it differs from the QR code.
Feature being rolled out. Email and SMS sharing from the booth is arriving gradually in BoothX releases. Depending on your version, the screens and settings may differ from this description.
At the end of their session, guests can receive their photo (or their GIF, photo strip…) directly on their phone, by email or by SMS. They enter their address or number on the booth screen, and the message goes out right away if the booth is connected, or later if it isn't.
QR code, email or SMS?
| Method | What the guest receives | Network needed | Cost |
|---|---|---|---|
| QR code | A link to the event gallery, which they scan themselves. | On the guest's side (their phone). | Display is free; the online gallery is pay-as-you-go. |
| An email with their photo or a link to it. | On the booth's side, at the time of sending (or later). | A free monthly email quota, then credits. | |
| SMS | A text message with a link to their photo. | On the booth's side, at the time of sending (or later). | Credits for each SMS (no free quota by default). |
The QR code remains the most economical option. Email and SMS are useful when:
- guests aren't used to scanning a QR code (older guests, accompanied children);
- mobile coverage is poor in the venue: guests receive their photo later, without doing anything;
- your client wants everyone to leave with their own photo, rather than the link to the whole gallery.
The guest journey
- After their session, the sharing screen offers Receive by email and/or Receive by SMS (depending on what you've enabled).
- The guest enters their email address or phone number on the on-screen keyboard. The format is checked before confirming.
- They check the consent box: they agree to receive this message (see Sharing consent, costs and credits).
- They confirm: the screen shows “Here it comes!” or “Your photo will be sent to you as soon as possible”.
- The booth returns to the welcome screen.
Guests can also skip this step: sharing is never mandatory.
What you need to enable it
- The booth must be linked to a BoothX account (see Sign in and link the booth): messages go through our servers.
- Email and/or SMS sharing must be enabled for the event, in its sharing settings.
- For SMS, a credit balance is required: there's no free SMS quota by default.
- An internet connection isn't required at the time of entry: messages wait in a queue. See The offline queue.
What the message contains
- The sender: BoothX on behalf of your event (the event name appears in the message).
- The photo or a link to download it. For SMS, it's always a link: text messages don't carry images.
- Depending on your settings, a custom text (“Thank you for coming to our wedding!”) and the link to the full gallery.
The download link points to our servers: the photo is therefore uploaded for the occasion, which also uses storage and bandwidth (pay-as-you-go services, with free quotas).
What is recorded
For each message, the booth keeps in its queue: the address or number, the photo concerned, the date and the sending status (pending, sent, failed). This personal data is handled like the rest of the event's data: it can be viewed, exported and erased. See What stays on the booth, what goes online.
Best practices
- Offer a single method if possible (email or SMS, in addition to the QR code): too many choices slows down the line.
- Test before the event: send yourself a photo by email and by SMS, and check that it arrives and how the message looks on a phone.
- Check your credits the day before, especially for SMS (see Free quotas and credits).
- Let guests know that the message may arrive later if the venue has no network.
Frequently asked questions
The guest didn't receive their email. Have them check their spam folder; then look at the message status in the booth's queue. See Troubleshooting email and SMS sending.
Can you send to several addresses at once? One message per address: a group can enter several addresses one after another, and each message is counted separately.
Are foreign numbers accepted? Numbers are entered in international format. Coverage and cost may depend on the destination country: see the pricing page.
