What stays on the booth, what goes online
The complete map of the data BoothX processes, mode by mode: what never leaves the booth, what is sent online and when.
BoothX is designed offline first: by default, photos, videos, messages and entries stay on the booth. Only the features you turn on yourself send data to our servers. This article goes through it, mode by mode.
This information helps you answer questions from your clients and their guests, and meet your own obligations: when you run an event, it's usually you or your client who decides how the photos are used, and BoothX that provides the tool.
What never leaves the booth
| Data | Mode | Where it is |
|---|---|---|
| Photos, layouts, GIFs, bursts | Photobooth | The event folder on the booth's disk. |
| Video messages | Videobooth | The event folder (videos subfolder). |
| Questions, scores, nicknames | Game booth | The booth's local database. |
| Contest entries (name, email, phone, consent) | Game booth | Local database, never synced. |
| Tiles and mural | Mosaic | The event folder. |
| Messages, signatures, selfies | Digital guestbook | The event folder and database. |
| Displayed photos and moderation decisions | Photo wall | On the booth; the wall screen is connected directly. |
| Music | All | Your local files. |
As long as you don't turn on any online service, none of this is sent.
What goes online, and only if you turn it on
| Feature | What is sent | Why |
|---|---|---|
| Online gallery (QR code) | The event's photos. | So guests can view them on their phones. |
| Email or text sharing | The guest's address or number, and their photo. | To send them the message. |
| Server AI effects | The image to process. | Processing happens on our servers. |
| Sync with the web panel | Event information (name, dates, modes, design) and the booth's status. | To prepare and monitor your booths from app.boothx.org. |
| Activity counters | Numbers (photo and print counts), with no images or personal data. | Web panel statistics. |
| Usage | Usage counters for paid services. | Pay-as-you-go billing. |
| Support report | Technical logs, if you send it. | Diagnosing a problem. |
The account and the booth
Linking the booth to an account (for the gallery, the web panel or sharing) sends the identity of your account and of the booth, never that of guests. Without an account, BoothX works fully: capture, printing, local modes.
Mode by mode, at a glance
| Mode | Offline and local by default | Can send online if… |
|---|---|---|
| Photobooth | Yes | Online gallery, email / text sharing, AI turned on. |
| Videobooth | Yes | (Uploading videos to the gallery, once available.) |
| Game booth | Yes, including contest contacts | Never for contacts. |
| Mosaic | Yes | Gallery or mural sharing turned on. |
| Digital guestbook | Yes, including the PDF export | Gallery or sharing turned on. |
| Photo wall | Yes | Never: the display is local. |
Security on the booth
Local data is only as protected as the computer that holds it:
- lock the booth during the event (PIN or pattern) and turn on kiosk mode;
- protect the computer's user account with a password;
- turn on the system's disk encryption (BitLocker, FileVault, LUKS) if the booth travels or is rented out;
- don't leave old events on a booth rented to another client.
What about the photo wall?
The wall doesn't send anything online, but it displays photos to the whole room. That's a form of publication: inform guests and remove a photo on request. See Moderating the photo wall.
Frequently asked questions
Does BoothX analyze faces? The local modes (photobooth, filters, mosaic, wall) don't do any facial recognition. Server AI effects only process the images you send them, at your request.
Are online gallery photos public? They're accessible to anyone who has the gallery link. See Sharing QR code and online gallery.
