Renting out a booth without an attendant: best practices
Prepare a booth that your client sets up and runs alone: settings, security, instructions and remote support.
Many providers rent out their booths without an attendant: the client picks up the booth, sets it up and returns it after the event. BoothX is designed for this: everything can be prepared, locked down and monitored remotely.
Before handing over the booth
Prepare the event
- Create the event with its dates and design, on the booth or on the web panel.
- Select it on the booth.
- Do a full test session, print a test page, scan the QR code.
Make the booth self-sufficient
Apply the Kiosk express setup, then check:
- Booth lock with a PIN or pattern: the client has no access to the settings;
- Full screen when locked and Automatic startup: when powered on, the booth starts by itself on the lock screen;
- Block system shortcuts, Ghost cursor, Block unknown USB drives;
- Keep the screen and computer on, Keep USB ports powered, Auto-recovery.
See Kiosk mode and security and Power, sleep and auto-recovery.
The emergency contact
Fill in the Owner's phone (Settings › Kiosk): it is shown on the lock screen with a QR code to call you. Your client can reach you in one gesture if there's a problem.
Should you give the code to the client?
It's usually not necessary:
- the client launches the event with the gesture and your code… or you launch it remotely from the web panel;
- at the end of the evening, they simply turn off the booth.
If you prefer that the client can leave the event, give them a code dedicated to the rental and change it when the booth comes back.
The instruction sheet
Include a laminated sheet with the booth:
- Plug in the booth, turn on the camera and the printer.
- Turn on the computer: BoothX starts by itself.
- The event starts (or call the number shown to have it launched remotely).
- Changing the paper: how to open the printer, where the rolls are.
- At the end of the evening: turn off the computer, then the camera and the printer.
- If there's a problem: the phone number, available during the event.
During the rental
From the web panel:
- My booths shows you whether the booth is online, with its equipment and alerts;
- Remote commands: launch or stop the event, lock, unlock, restart the software;
- photos arrive in the gallery if the booth has internet.
Most calls are solved by restarting the software remotely, or by guiding the client to reconnect a cable.
When the booth comes back
- Connect the booth to the internet and let it upload the photos.
- Retrieve the files (Storage › Open folder) and send the gallery link to the client.
- Export, then purge the data from any contest.
- Check the equipment: remaining paper, cables, screen cleanliness.
- Change the code if you shared it.
For several booths
- Use a shared settings profile in Automatic mode: all your rental booths have the same settings, and a change is applied everywhere (see Synced settings profiles).
- Name your booths clearly (“Booth 1 – white”, “Booth 2 – mirror”) to find them in My booths.
- Set to maintenance a booth under repair so you don't mistake it for an available booth.
