Running a booth service
Service providers and rental companies: running your business with BoothX
Prepare your clients' events, choose between rental with or without an attendant, build your offer and your quote, manage several booths and return the booth clean.
BoothX is used by individuals, but also by service providers: entertainers, photographers, booth rental companies, event agencies. This article gathers best practices for running a professional business around BoothX.
What BoothX costs you
The model is simple and predictable:
- everything that runs on the booth is free: capture, printing, editor, all local modes (photobooth, videobooth, games, mosaic, guestbook, photo wall);
- online services (gallery, email / SMS sharing, AI, sync) have a free monthly quota and are then pay-as-you-go, with prepaid credits;
- the Pro and Ultra plans add convenience and customization benefits; Ultra suits high volumes (500 events, 250 GB of storage).
See Free forever or pay-as-you-go. Prices are published at shop.boothx.org/plans.
Your BoothX costs therefore depend mainly on the online services you offer your clients: include them in your quote.
Rental with or without an attendant
| With an attendant | Without an attendant (dry hire) | |
|---|---|---|
| For whom | Weddings, corporate events, trade shows. | Individuals, small budgets. |
| Suitable modes | All of them, including mosaic and moderated photo wall. | Photobooth, guestbook, simple games. |
| Preparation | You adjust everything on site. | Everything must be ready and locked before handover. |
| Key points | Hosting, moderation, paper management. | Instruction sheet, lock, remote monitoring. |
For rentals without an attendant, follow Renting out a booth without an attendant: best practices.
Building your offer
Clear packages sell better than a list of options. For example:
| Package | Contents |
|---|---|
| Essential | Photobooth, unlimited prints (subject to supplies), QR code and online gallery. |
| Memories | Essential + digital guestbook (PDF) or video guestbook. |
| Showtime | Memories + live photo wall + the mosaic mural as a gift. |
| Corporate / trade show | Branded photobooth + game booth (contest) + statistics report. |
Pay-as-you-go options (SMS, AI, long-term gallery) can be sold separately.
The quote: what to include
- The modes offered and the equipment provided.
- Supplies: number of prints included, extra prints.
- Online services: gallery (how long it stays online), email, SMS, with your estimate. See Estimate the cost of an event.
- Data: who is responsible, what is handed over to the client, retention period, purge. See Retention periods, export and purge.
- Photo wall moderation, if you offer it.
- The deliverables: USB flash drive, gallery link, guestbook PDF, mural, report.
Preparing your clients' events
- Create the event as soon as the quote is signed, with its dates: the web panel shows your booths' calendar. See Prepare and track your events on the web panel.
- Start from a template event: duplicate a successful event to reuse its design (see Manage your events).
- Use settings profiles per type of job (wedding, trade show) to switch from one configuration to another in one step. See Synced settings profiles.
- Prepare the mode content with the client: quiz questions, mosaic target image, guestbook text.
Managing several booths
- Link all your booths to the same account: credits and quotas are shared.
- Monitor them from app.boothx.org: status, printer alerts, today's photos. See Monitor your booths from the web panel.
- Give each booth a clear name (“Booth 1 – White column”) so you can tell them apart.
- Keep an identical hardware setup whenever possible: same ports, same printer, same camera.
Between two clients
- Export and hand over the deliverables to the client.
- Purge the previous client's data: photos, videos, contacts, guestbook pages, sends.
- Check that the sending queue is empty.
- Delete the online gallery on the announced date.
- Reset the booth to its base configuration (settings profile).
A rented booth must never contain another client's photos.
Your client relationship
- Before: a meeting or a call to approve the design and the modes; a preview of the screens (editor preview).
- During: the photo wall and the prints showcase your work.
- After: a report with figures (see Dashboard statistics step by step) and delivery of the keepsakes within the promised time.
Frequently asked questions
Can I re-bill SMS to my client? Yes, it's even recommended: a flat fee or a per-message cost, based on the event's counter.
Can my client prepare their design themselves? You can prepare the event on the web panel and fine-tune the design with them on the booth before the event.
Do I need one account per booth? No: one account for your business, with several booths linked to it.
